There are many small business owners who want to spend their time and energy providing their product to their customers. Accounting for them is a time consuming hassle. For these clients, a Ten Key bookkeeper will enter their daily transactions including invoices, customer payments, deposits, bills, bill payments, checks and timesheet entries. This service is provided on-site (in metro Atlanta), off-site or remotely over the Internet. Arrangements must be made to obtain paperwork from which data is entered.

Payroll Preparation Services are available for clients who want to maintain their own payroll and subscribe to the QuickBooks® basic payroll, which is tax table service only. Ten Key can prepare your payroll checks as well as your payroll tax forms and payroll tax liability payments remotely or on-site. We'll also handle new employees, changes in employee status, W-4 information and end of year payroll reports. This is the next best thing to having a payroll service!

Your payroll is maintained on your computer and it is your responsibility to send in the forms and pay your liabilities on time. On your computer, Ten Key will setup the payroll module, create & print payroll checks, create & print payroll liability checks, apply payroll expenses to customers for job costing, print W-2's, maintain employee information and basically do all of the QuickBooks® entry. It remains your responsibility to send your forms and payments in on time.

Ten Key strongly recommends a regular backup procedure for every company.

Periodic Backups: Every time a Ten Key bookkeeper works with your QuickBooks® data file, a backup to your local hard disk will be performed. We highly recommend daily backups, and a periodic (weekly or biweekly) backup to be stored off site. Consider Ten Key's off-site, off-Internet backup service for a hassle free off site storage. If a disaster destroys your computer and your backup at the same time, you could be out of business. Off-site storage is a MUST.

Off-Site, Off-Internet QuickBooks® Data Backup Service

Backing up your data is a critical part of running a business, yet many businesses do not have a regularly occurring backup procedure. If you backup to your hard disk and your hard disk crashes, you lose your data AND your backup. Backing up to floppy takes a long time and it's easy to get the disks mixed up. It is also imperative that you have a recent backup stored off-site, away from the building you work in, or at least in a fire safe vault. If your building burns down, any backups stored in that building are gone.

Intuit, as well as other companies, offer off-site backup services, but Ten Key's backup service is different. Other services store your data on an Internet Server, which leaves it somewhat vulnerable to hackers. Ten Key's backup service uses the Internet to "transport" your file, but then off-load's it to CD-ROM. This way, your data is unavailable to hackers, but in the event of an emergency, it is available to you. Your data is condensed and encrypted prior to sending which further safeguards it.

Ten Key's Off-site backup services are intended to cover your off-site backup storage needs. We still recommend that you backup to your hard drive on a daily basis, and to floppy's at least weekly. Your off-site backup procedure can be automated to occur as often as you would like. We recommend at least weekly or biweekly, depending on the number of daily transactions.

Word Processing Services

Mail merges
A mail merge consists of combining a document, which contains text, pictures or special formatting, with multiple data records. What does that mean in English? For example, let's say you want to send a letter to all of your customers telling them about a new product. You first create the "master document" or "template" which contains all of the text introducing your product. At the top of this document you put data fields which will fill in with your customer's information, such as First Name, Last Name, Address, City, State, Zip, etc. When you merge the master document with the data (your customer file), you get one letter for each customer, personalized with their name and address. You use the same technique to create mailing labels, envelopes and post cards, among many other things. (Read the section below for information on how Ten Key can manage your customer database)

Where does Ten Key fit in? Ten Key will handle any or all of this process for you. Just choose from any of the following steps:

Create your template: Email Ten Key the information you want to send to your customers. Our professionals will create your master document or template to your specifications. See Forms Design below for interactive forms templates.

Create your data source: Provide Ten Key with the data you want merged into your document. This can be as simple as mailing addresses or can include information specific to your business. Any data can be merged with any document, so use your imagination! If your data (names & addresses) is not already in a computer file, Ten Key will enter it for you.

Merge the template & data: Ten Key will process the merge and supply you with a Microsoft Word file, ready to be printed.

Print the finished merge file: Ten Key will print the file and deliver to you the finished product. If the merge is to be printed on letterhead, or any other customized paper, you will need to furnish it. Any paper readily accessible at Kinko's or from Avery can be supplied by us.

Print labels or envelopes: Using the same data source, Ten Key will print envelopes or mailing labels. Label application, folding and stapling services are available as well. Consider printing a special message on the envelopes.

Ten Key will process any individual part, or your entire mailing from start to finish.

Forms Design
Ten Key will design your forms, such as employment applications, credit applications, new customer information, etc. Forms can be printed & filled out on paper, or can be filled out on a computer and automatically entered into a database or spreadsheet. You can include "drop down" fields where you choose from a list, type in "text" fields, and "button" fields where you click to fill in the button. We can customize the form to include your logo, default information in specific fields and many other options. Call us to discuss your needs.

Fill out our Resume Information Form and briefly describe a style you would like to portray or choose from some preset selections. Resumes have a minimum $30 pre-paid charge and total cost depends on time involved. We can spruce up your existing resume, or design you a new one.

Newsletters

Design Newsletter Layouts: This is the first step to a great newsletter. We can work with your existing layout (if it is Microsoft Word compatible) or design a new one.

Gather text & Compile into ongoing periodic Newsletter: The text that goes into periodic newsletters oftentimes comes from a variety of sources. Ten Key will query these sources by email, gather the information and enter it into your pre-designed newsletter template. We can provide you with the file to print yourself, or have it printed and delivered to you.

Fold, Label and Mail (or Email) Newsletters: With your mailing list, we can print labels, envelopes, post cards and other printable media. We will also adhere mailing labels, fold and even mail your newsletters if you wish. If your newsletter recipients are email customers, simply provide us with the addresses and we will group email them once you've approved the final copy of the newsletter.

Announcements
Invitations, Baby Announcements, Trade Show Advertisement mailings, Sales & Specials. Ten Key will handle most types of mailing or email information delivery, with the exception of SPAM, which is strongly looked down upon in the Internet community. Our product is our service. Proofreading
A talent many people need, but not readily available, proofreading is a specialty of ours. Spelling and grammar mistakes seem to leap off the page. Excel® Spreadsheet Services

Spreadsheets can be used to track expenses, calculate or list items, evaluate loan payments, chart sales and any number of other uses. They can be simple and straightforward, and they can be very complex. Ten Key provides a variety of spreadsheet services including teaching you how to "do it yourself", or designing a spreadsheet for you, to meet your needs and specifications. What Is a Database? A database is a collection of records which contain information about things pertaining to your business, such as customer names and addresses, products purchased, email addresses, web sites, inventory, family members, and really just about anything. Think of it like a Rolodex. Each card contains a name, phone number, address, and various other pieces of information that are important to you. Your database can be customized to include any information you want. Once your data is entered, it can be grouped and extracted selectively for mailings, phone calls, to-do items, meetings, just about any reason.

Database Design & Setup
The most important part of using a database is to set the fields up correctly BEFORE entering data into them. This way you are consistent with which field you use to contain which data. You can then import, or convert your data from another application, or begin your own data entry by hand. Of course, Ten Key provides data conversion and data entry services should you prefer not to do it yourself. We use ACT!® Contact Manager for most database applications, but if your needs require a very sophisticated and customized relational database, we will use Microsoft Access.

Template Design
A template is a pre-designed document or form, which gives you a starting place for new documents. For example, you may design your newsletter layout and save it as a template. Then when you create each newsletter, you begin with the template and simply change the text. Another example might be a letter template, which includes merge fields for your customer's name & address. These fields will automatically fill in. You may have text already in the template for a common letter that you're sending to many contacts. A template could be a fill in the blank form for employment application, or many other uses.

Ten Key will design your templates in Microsoft Word or ACT! Contact Manager and deliver them to you via email including instructions on copying them to the correct directory. Design Queries
A query is a search through your database for records (customers) that meet one or more criteria. They can be very simple, such as "Show me all customers in Georgia", or they can be very complex, "Show me all customers in Alpharetta, Georgia who purchased my product over a year ago and who have an expired maintenance agreement." When you design your database, if you have included any information which might be pertinent about your customers, then we can design queries based on this information to give you a powerful tool for managing your business. We can even customize your menus in ACT! to make your queries easily accessible. Again, please consider Ten Key's Remote Internet Training & Support to learn to design your own queries. We'll also be happy to troubleshoot queries with which you might be having difficulty.

Design Reports
ACT!® has many pre-designed reports, but if you find you need information that is not on a pre-existing report, we will design one to your specifications. If your database is in Microsoft Access, Oracle Sybase, Postgress, or MySQL, all of your custom reports must created. Our programmer will work closely with you in designing your database, templates, queries and reports to your specifications. Additional designs can be added at any time.

Data Management
Most companies manage their own databases, but some databases might be strictly for a direct mail campaign, or specific event such as a trade show or training seminar. A database can be used to track wedding invitations, RSVP's, gifts and thank you cards. Any time you're collecting information about multiple "things", you can use a database.

Ten Key will manage your database for you, adding and editing records (customers), grouping them by your classifications, printing mailing labels, sending invitations, recording RSVP's, printing reports and even mailing your merged letters or announcements.

Let's say you're providing a training seminar. (See Trade Show & Seminar Registration Service for more information) You need to:

Send invitations to 100 people.
Record the RSVP's
Collect the registration fees (managing cancellations)
Send a letter to each person thanking them for registering
Print personalized nametags for each attendee
Send a "Thank You" letter after the seminar

Ten Key's Registration Services will

Design a database with fields for name, address, RSVP, and any other information you want (expertise level, prior training, etc.)
Enter the names & addresses of the 100 invitees into the database.
Personalize & send the invitations via mail or email.
Setup an RSVP email form which includes form of payment & credit card authorization. This form can be returned directly to Ten Key or to you.
Setup designated phone line for RSVP's (if seminar is large enough to warrant this. Extra charges apply) If you receive the RSVP phone calls and/or emails, you simply forward the information to us via email.
If you wish, Ten Key will collect the registration fees and manage cancellations.
Enter the RSVP responses into database.
Provide you with reports tallying responses.
Create template & print "Thank you for registering" letter
Use Avery name tag template & print personalized name tags
Collect attendance information from you (if different from RSVP)
Create template, print and mail or email "Thank You" letter after seminar.

Ten Key will maintain a database of email addresses for your company. This means we will cull out incorrect addresses, unsubscribe those who wish to be removed and add new addresses for you. Anytime you need to correspond with a group of people via email, this service can be very valuable.
